High Volume Application Tracking

Dynamic DSM is a tracking system designed with multiple methods to support a large volume of applications. Not only can customers and partners upload applications, but users can input complete projects in less than 1 or 2 minutes. DSM tracking is made simple and quick using our system.

Measure Creation – via Keyboard Shortcuts within the inline editor

One of our most beloved features is Measure Creation/Update via the Keyboard Shortcuts. In situations where a user needs to add a large number of measures (e.g. 20 lighting measures), it becomes helpful to be able to simply use the Keyboard for all data entry (as opposed to switching to the mouse every few seconds). This is a massive time-saver. Of course, the user also has the ability to upload measures from an Excel Sheet where applicable. Both methods are fast and each has their merits.

Milestone Batch Updater

In cases where a number of projects need to all be moved forward in a batch method, the user simply (1) navigates to his list of projects that are at a specific milestone (2) highlights the projects that are ready to be moved and (3) hits the “update” button. Where desired and applicable, multiple milestones can be moved forward at the same time. In this way, users are able to save enormous amounts of time for standardized projects that are considered simple enough to be moved forward in batch.

Project Creation

Our system is used to create several thousand new projects per week. A combination of all the methods below is used:

Project Uploader

  • Projects are uploaded via our DYNAMIC DSM Portal. The following actions take place:
    • Account is verified. If no match is found, an Account is created and associated.
    • Site is verified. If no match is found, a Site is created and associated.
    • Contact is verified. If no match is found, a Contact is created and associated.
    • Project is created. Key relationships are populated. Responsible Users are assigned. Trade Allies are related.
    • Project Template (Milestone Template) is created. Milestones are generated and populated.
    • Measures are proofed for validity and created. Data from Measure Templates is pulled into the Measures.
    • Financials are proofed for validity and created. Data from Financial Templates is pulled into the Financials (e.g. Invoice Payment)
    • Reporting fields are populated on all entities (e.g. Measures, Projects, Sites, Programs, Trade Allies, etc.)
    • Data is rolled up to parent entities (Sites, Accounts, Trade Allies, Programs, etc…)
    • Queues are updated. This project now appears on someone’s task queue.
    • Dashboards are updated
    • Workflow runs (depending on the program, project or measure information)

Standard Project Creation

  • Our standard process is built for speed and flexibility. All of our projects are created from project templates – typically a 5-10 second process.With one button, the following takes place:
    • Project is created and related to the parent Site, parent Account, primary Contact
    • Project Template initiates creation and assignment of Milestones
    • Reporting fields are populated
    • Data is rolled up
    • Queues are updated
    • Dashboards are updated
    • Workflow runs

    After this the user simply selects the desired Measures and updates the quantity (and Savings values if Custom). The Keyboard Shortcuts built into our Measure sub grid enable the user to handle 5-10 Measures per minute.

Measure Specific Project Creation

  • This method does everything in option B above; plus the Project Template includes specific Measures Templates. For example, if a special promotion HomeCheck is being offered for CFLs & Smart power strips, then a Project Template can be configured to include 3 ENERGY STAR® CFLs and 2 Smart power strips. Thus when the Project is created, it would automatically be populated with these Measures (including quantities, Savings values, Costs, etc…). The user has the ability then to revise the quantity of each measure, edit/delete these measures as well as add other measures as needed.

Creation of Completed Projects

  • This method does everything in option C above; plus the Project would be flagged as completed. For example, in the case that no further steps (e.g. payments, milestones, measure revisions, etc.) are needed, a Project Template can be created to include specific Measures and then be flagged as completed. Workflow ensures that all necessary reporting fields and roll ups are performed.
